How to Create and Assign Geofences

This guide walks you through creating a geofence, assigning it to a job, attaching employees, and ensuring the right permissions are enabled so geofencing works smoothly.

🧭 Step-by-Step Workflow

1. Navigate to Geofences

  • From the Job Center in the left-hand navigation, click Geofences.

2. Create a New Geofence

  • Click Create New Geofence.

  • Zoom in on the map to the area of interest β€” this helps the search tool find addresses faster.

3. Search & Define the Geofence

  • Type in the address of the location.

  • Give your geofence a name.

  • A default circle (~300 yards in diameter) will be created.

  • You can:

    • Adjust radius by dragging

    • Change shape to a rectangle or custom

    • Leave 100-yard buffer zones around buildings to account for GPS drift

πŸ“± Pro Tip: GPS signals can bounce β€” especially near roads or buildings. You can temporarily disable the geofence to allow a punch-in, then use the tracking history to re-adjust.

4. Save the Geofence

  • Once your geofence is shaped properly, click Save.

5. Create a New Job

  • In the Jobs area, create a new job entry.

  • Enter a name (e.g., "Geofence – Warehouse 1")

  • Dates: Back date the Start Date and check the box for Ongoing

  • Skip budget if not needed

6. Add a Default Task

⚠️ Even If you're not job-costing, add a placeholder task so the job functions properly.

7. Assign Employees

  • Select the employees you want to associate with this geofenced job.

  • You can assign all, or select individuals.

8. Attach the Geofence

  • Under the Geofence section in the job form, choose your newly created geofence.

  • You can assign multiple geofences to a job, or one geofence per job.

9. Access Organization Settings

  • Click your Company Name > Organization Settings > Roles.

10. Create or Edit a Role

  • For example, edit or create a Mobile App Role.

  • Enable permissions for:

    • Mobile App Access

    • Geofence Restrictions

11. Configure Geofence Enforcement Rules

You can enforce geofence location for:

  • ⏱️ Punch In / Punch Out

  • 🍽️ Meal Start / Meal End

  • πŸ” Job Switching (if using job costing)

🚨 Important: Punch-In/Meal restrictions are strict: if outside a geofence, the punch will be blocked.

ℹ️ Punch-out restrictions work differently: if outside a geofence, the punch will be allowed, but the employee will be forced to submit a correction. Their last known time in a geofence will be attached to the note automatically.

You can also assign jobs/geofences by:

  • Editing the employee's profile β†’ Jobs tab

  • Or updating assignments in the Manage Jobs area
