Timecards Module (Main Screen Overview)

The Timecards screen allows you to view, filter, and manage employee time data in a flexible and intuitive way.

๐Ÿ“ Getting Started

Click on Timecards from the left-hand navigation menu. This opens the main timecard table.

Only employees who have clocked time in the selected date range will appear.
If you donโ€™t see an employee listed, itโ€™s likely because they havenโ€™t logged any time during the selected period.


๐Ÿ” Filters & Date Range

At the top of the screen, youโ€™ll find two sets of filters:

  • Location and Department/Team Filters: Select one or more to narrow down which employees are displayed.

  • Date Range Selector: Use predefined pay cycles or select a Custom Date Range to specify exact start and end dates.

โœ… Be sure to click Apply after making changes to filters or date ranges.


โฑ๏ธ Time Format Toggle

Choose how time appears:

  • HH:MM โ€” Traditional format (e.g., 08:00)

  • Decimal โ€” Useful for payroll exports (e.g., 8.00)

Your selection affects exports as well, so choose based on your payroll systemโ€™s preferences.


โž• Creating a Manual Timecard

If someone forgot to clock in, or if you need to manually add time:

  1. Click Create Timecard in the top-right.

  2. Search for and select the employee.

  3. Enter the In and Out times.

  4. (Optional) Add a meal period.

  5. Click Submit.

Once saved, the employee will appear in the main timecard list.


๐Ÿงฉ Customizing the Table View

Click the Filter icon to show or hide columns like:

  • Employee ID

  • Punch-in Time

  • Meal Period

  • Total Time

๐ŸŽฏ This is useful if you want to focus only on hours worked without clutter.


๐Ÿ“ Exporting Time Data

To export timecard data:

  1. Select the desired employees (or leave all checked for a full export).

  2. Click Export.

  3. Choose your preferred format:

    • Employee Timecards (PDF or Excel)

    • Audit Summary (multiple XLS and PDF options)

    • Payroll-Compatible Formats (ADP, Paychex, QuickBooks, etc.)

Additional Export Options

When exporting employee timecards, you can check options like:

  • โœ… Include Correction Requests

  • โœ… Include Days Not Worked

  • โœ… Add Supervisor Signature

  • โœ… Show Weekly Totals

  • โŒ Hide Decimal Conversion (if you're using HH:MM)

A red dot on the bell icon in the lower left will let you know your export is ready for download.


๐ŸŽจ Color Coding in the Table

Color indicators help quickly identify potential issues:

  • Light Red โ€” Correction request or system-forced punch out

  • Orange โ€” Meal break issue (missed or late)

  • Dark Red โ€” Multiple issues

  • No Color โ€” No system-detected issues

Use the Show Deviations checkbox to filter and focus only on timecards with flagged issues.


๐Ÿ‘ฅ Show Departments & Teams

Check the box labeled Show Department & Teams to add department/team labels beneath each employeeโ€™s name for added context.


๐Ÿงญ Search Function

Use the search bar in the upper-right corner to find employees by:

  • First or Last Name (partial names accepted)

  • Title

  • Employee Tags
